The Compress GL Entries routine removes all GL Entry records dated on or before a specified As Of Date, replacing them with summarized GL Summary entries.
This process significantly reduces the volume of Salesforce data and improves overall database performance.
⚠️ Important Notice
- The compression process is irreversible.
- It may require significant processing time, depending on the data volume.
- The compression routine does not impact any monthly Financial Reports.
- Historical reporting on detailed General Ledger Entries will no longer be available for the compressed periods.
- Proceed with caution and follow the checklist carefully.
- Carefully follow the entire checklist before proceeding.
Pre-Compression Checklist
1. Run GL Analysis Routine
Before compression, ensure GL Entry and GL Summary are 100% in sync.

Resolve any differences before proceeding
If you do not use GoldFinch Accounting, you may still run the compression routine to delete GL Entries, but:
Make sure your external accounting system has accurate GL balances by month as of the As Of Date.
2. Prevent New Postings During Compression
To ensure no new transactions are created while compression is in progress:
A. Restrict Company-wide Posting

In Company Setup, set Allowed Posting From to a date later than Allowed Posting To.
This blocks all new postings at the company level.
B. Override User Posting Permissions

In User Setup, clear both Allowed Posting From and Allowed Posting To.
This prevents users from overriding the company posting rules.
C. Record the last GL Entry No.

This provides the cutoff reference point for post-compression validation.
3. Pause All Scheduled Jobs
The compression routine is resource-intensive. It is recommended to pause all scheduled jobs that could interfere with the compression process.
4. Back Up Historical Records
Before running compression, create a backup of historical data. Either run a full system backup or manually export the following tables:

Step 1: Define Compression Date
Go to Demand Planning Setup and enter:

Compression As Of Date
Requirements:

The As Of Date must be the end of an Accounting Period.

If you have a large number of GL Entries, test compression in Sandbox first.

Choose the earliest possible As Of Date to reduce the number of accounting periods being processed.
Important
notes:

You cannot unpost any transactions dated on or before the As Of Date after compression.

If you also plan to compress:

Warehouse Entries

Item Ledger Entries
Use the same As Of Date for all compression routines.

Step 2: Run the Compression Routine

Navigate to Administration → Compress GL Entries

Confirm the As Of Date
-
Click Compress Entries to As Of Date
The batch job may take a considerable amount of time, depending on the volume of records.
Post-Compression Validation
After completion:

Run GL Analysis Routine again
-
Confirm GL Entry and GL Summary remain fully synchronized
-
Re-enable scheduled jobs
-
Reset Allowed Posting From / To to resume normal transaction posting
