The Warehouse Entry Compression process removes all Warehouse Entries for all Warehouses dated on or before a specified As Of Date and replaces them with summarized entries grouped by Bin Content.
This reduces Salesforce data volume and improves overall database performance.
Recommendation:
Retain no more than one year of Warehouse Entries in the production environment.
Important Notice
- This process is irreversible.
- Processing time may be significant, depending on data volume.
- The compression routine does not impact any As Of Now inventory reports.
- Historical reporting on deleted Warehouse Entries will no longer be available after compression.
- Follow the complete pre-compression checklist before proceeding.
Pre-Compression Checklist
1. Prevent New Postings During Compression
To ensure no new transactions are created while compression is in progress:
A. Restrict Company-wide Posting
-
In Company Setup, set Allowed Posting From to a date later than Allowed Posting To.
This blocks all new postings at the company level.
B. Override User Posting Permissions
-
In User Setup, clear both Allowed Posting From and Allowed Posting To.
This prevents users from overriding the company posting rules.
C. Record the last Warehouse Entry No.
-
This provides the cutoff reference point for post-compression validation.
2. Pause Scheduled Jobs
Compression is resource-intensive.
-
Temporarily pause all scheduled jobs that could generate new ledger entries or modify warehouse data.
3. Back Up Historical Records
Before running compression, preserve historical data:
-
Perform a full system backup, or
-
Manually export key tables:
-
Warehouse Entry
-
Bin Content
-
Compression Steps
Step 1: Define the Compression Date
Go to Demand Planning Setup and set the:
-
Compression As Of Date
Important Notes
-
You cannot unpost any transactions dated on or before the As Of Date after compression.
-
If you also plan to compress:
-
GL Entries
-
Item Ledger Entries
Use the same As Of Date for all compression routines.
-
Step 2: Run the Compression Routine
Navigate to:
Administration → Compress Warehouse Entries
Then run the routine.
Step 2.1: Lock Quantities
GoldFinch copies the current Quantity from each Bin Content record into:
-
Compression Original Qty
This stores the pre-compression quantity snapshot.
Step 2.2: Compress Entries As Of Date
The system performs two actions:
Delete Historical Entries
-
Deletes all Warehouse Entries dated on or before the As Of Date.
Create Variance Warehouse Entries
For each Bin Content record:
-
The system compares Compression Original Qty vs. Quantity
-
If they differ, the system creates a new Warehouse Entry for the variance
This ensures Bin Content quantities remain accurate post-compression.
Post-Compression Validation
-
Go to xCompression Entry Required list view under Bin Content
-
Ensure no records are listed
→ This confirms all quantities are correct and in sync.
Restore Normal Operations
-
Re-enable all scheduled jobs
-
Reset Allowed Posting From / To to resume normal posting activity
