By default, GoldFinch does not allocate inventory for sales quotes. However, you can enable the Inventory Allocation feature on sales quotes to prevent overcommitting inventory to potential customers. Once inventory is allocated to a quote, it becomes unavailable for other sales quotes or sales orders.
Enable Sales Quote Allocation
Refer to Managing GoldFinch Custom Settings to configure a new custom setting:
-
Name:
EnableSalesQuoteAllocation -
Value:
True
Automatic Allocations
When a Sales Quote is saved, inventory is automatically allocated based on the available quantity for the specified Item, Unit of Measure, and Warehouse.
-
GoldFinch will not allocate inventory if the Do Not Allocate checkbox is selected on the Sales Quote.
-
When an item is allocated, Item Allocation (SQ) entries are created and can be viewed directly from the Sales Quote.
Remove or Edit Allocations
If inventory has been allocated to a quote but is needed for a more urgent sales quote or order, you can adjust the allocation:
-
Edit the allocation to reduce the quantity allocated.
-
Delete the allocation line to remove it entirely.
Update Sales Quote Allocations
After inventory levels are updated, you can refresh allocations by editing and saving the Sales Quote. GoldFinch will reallocate any unallocated items based on the current available inventory, Unit of Measure, and Warehouse.
You can also click the Allocation button on the Sales Quote to manually update allocations.
Converting a Sales Quote
When a Sales Quote is converted into a Sales Order, the associated inventory allocation is transferred to the Sales Order.
Bypass Automatic Allocation
You can bypass the automatic allocation of items in several ways:
-
Company Setup: Checking the Default Do Not Allocate option will prevent automatic allocation for all Sales Orders.
-
Accounts: Checking the Do Not Allocate field on an Account will automatically apply this setting to all Sales Quotes for that account.
-
Sales Quote: Manually check the Do Not Allocate field on a specific Sales Quote.
Exclude Inventory from Allocation
-
Company Setup: Check the Exclude Expired Inventory in Allocation box to exclude expired inventory (for lot-tracked items).
-
Bins: Check the Do Not Allocate box on specific bins to exclude their inventory from allocation.
Include Pending Receipts in Allocation
By default, allocations only consider on-hand inventory. To include pending receipts, such as outstanding quantities from purchase orders or open transfer orders, check the Include Pending Receipt in Allocation option in Company Setup.
Allocation Method
By default, GoldFinch’s Mass Allocation routine allocates inventory by Sales Order No.
To change this, set the Allocation Method in Company Setup to Priority & Shipment Date to allocate inventory based on sales orders’ allocation priority and shipment date.
Freeze Allocations
By default, allocations are updated whenever a Sales Order is saved. To retain the existing allocations, check the Freeze Allocation box.
