Before you can create Warehouse Shipments for Transfer Orders, inventory must first be allocated to those orders. Once inventory is allocated, the quantity is no longer available for other orders. However, allocations for lot-tracked or serial-tracked items are based on quantity, not specific lot or serial numbers.
The following outlines how to manage inventory allocations in GoldFinch.
Automatic Allocations
-
When a Transfer Order is saved, GoldFinch automatically allocates inventory based on the Item, Unit of Measure, and Warehouse combination.
-
If the Do Not Allocate field is checked on the Transfer Order or if the order is closed, no allocation will be made.
-
The Allocated Quantity on the Transfer Line will show the amount allocated for each item.
-
Item Allocation (TO) entries are created and can be viewed from the Transfer Order.
Remove/Edit Allocations
If inventory has been allocated to an order, but another, more urgent order requires the inventory, you can:
-
Edit the Item Allocation line to reduce the quantity allocated.
-
Delete the Item Allocation line entirely to remove the allocation.
Update Transfer Order Allocations
After the available inventory is updated, click the Allocation button on the Transfer Order to refresh the allocations for that order.
Pending Allocation List View
The Pending Allocation List View shows all transfer orders requiring additional allocation.
-
Filter Criteria:
-
Document Status: Open, Shipment Created, or Back Order
-
Allocation Status: Not Full
-
Closed: False
-
This view allows you to:
-
Mass allocate or deallocate Transfer Orders.
-
Review and update allocations by item.
Mass Allocation and Deallocation
To mass allocate or deallocate Transfer Orders:
-
Open the Pending Allocation List View.
-
Select the relevant Transfer Orders.
-
Click the Allocation or Deallocation function to process the selected orders.
Allocations by Items
To manage allocations for a specific item across multiple Transfer Orders and Sales Orders, you can:
-
Click the Allocation Management button on the Item page.
-
Or, click the Allocated Qty. hyperlink on a Transfer Line (in Edit mode) to open the Allocation Management page, where you can update allocation quantities for that item across multiple orders.
Bypass Automatic Allocation
You can choose to bypass the automatic allocation process in several ways:
-
Company Setup: Checking the Default Do Not Allocate field in the Company Setup will automatically apply it to all Transfer Orders, bypassing the automatic allocation process.
-
Warehouses: Checking the Do Not Allocate field on a Transfer-from Warehouse will automatically bypass allocation for any Transfer Orders from that warehouse.
-
Transfer Orders: Manually check the Do Not Allocate field on a specific Transfer Order to bypass automatic allocation for that order. Note: This field cannot be changed if a Warehouse Shipment has been created but not yet posted.
-
Bin: Checking the Do Not Allocate field for a bin will bypass automatic allocation for inventory stored in that bin.
Include Pending Receipts in the Allocation
By default, only inventory on hand is used for allocations. To include Pending Receipts (e.g., outstanding quantities from Purchase Orders or Open Transfer Orders), check the Include Pending Receipts in Allocation field in the Company Setup.
Allocation Method
By default, the Mass Allocation routine allocates inventory to Transfer Orders by Transfer Order No. If preferred, change the allocation method to Priority & Shipment Date in the Company Setup to allocate inventory based on Allocation Priority and Shipment Date.
