Overview
The Pre-Build Sales Order process allows your warehouse to pick and stage inventory before the entire Sales Order is available to ship. This is useful when you do not want to make partial shipments, but you want to begin picking available inventory so the order can ship immediately once the remaining items arrive.
For example, if a customer orders 50 units but only 40 units are currently available, you can pick and stage the 40 available units. After the remaining 10 units are received or manufactured, simply update the Warehouse Shipment, pick the remaining quantity, and then ship the complete order.
Prerequisite: Enable Whse. Pick in Warehouse Setup. The Pre-Build Sales Order process requires Warehouse Picks to function correctly.
Step 1 – Create the Sales Order
Create the Sales Order as usual and save it.
Saving the order allocates all available inventory.
Example:
- Sales Order Quantity: 50
- Inventory Available: 40
- Allocated Quantity: 40
The remaining 10 units will remain unallocated until inventory becomes available.
Step 2 – Create the Warehouse Shipment
Create a Warehouse Shipment from the Sales Order.
The shipment will include only the quantity that is currently allocated.
Step 3 – Create and Post the First Warehouse Pick
Create a Warehouse Pick from the Warehouse Shipment.
Pick and post the available inventory.
At this point:
- 40 units have been picked.
- The Warehouse Shipment remains open.
- Nothing has been shipped to the customer.
The picked inventory is simply staged and waiting for the remaining items.
Step 4 – Allocate the Remaining Inventory
After the remaining inventory has been received or manufactured:
- Open the Sales Order.
- Click Edit.
- Click Save.
Saving the Sales Order reallocates inventory.
The Related Item Allocations section will now show the total allocated quantity, including both:
- Previously picked inventory
- Newly allocated inventory
Step 5 – Update the Warehouse Shipment
Open the existing Warehouse Shipment.
Select Update from Sales Order.
The shipment will now include the newly allocated quantity while preserving the quantities that were previously picked.
Step 6 – Create the Second Warehouse Pick
Create another Warehouse Pick from the Warehouse Shipment.
Only the newly allocated quantity will be included on this pick.
Pick and post the remaining inventory.
At this point, the entire Sales Order has been picked and is ready to ship.
Step 7 – Post the Warehouse Shipment
Once all items have been picked:
- Open the Warehouse Shipment.
- Verify all quantities have been picked.
- Post the Warehouse Shipment.
The customer receives a single complete shipment, even though the inventory was picked in multiple stages.

- Allows warehouse staff to pre-pick available inventory.
- Reduces shipping delays once remaining inventory arrives.
- Keeps all picked inventory associated with a single Warehouse Shipment.
- Ships the complete Sales Order in one final shipment.
