You can deliver solicitation and bid management on the Salesforce platform using Experience Cloud, Flow, Files, permissions, reports, and a qualified sourcing or e-procurement AppExchange application. These functions are related Salesforce capabilities and are not standard GoldFinch purchasing features.
Solution boundary
GoldFinch purchasing begins with vendor and purchasing transactions such as Purchase Orders, receipts, Purchase Invoices, and Vendor Payments. Public opportunity publication, RFI/RFQ/RFP response collection, evaluation panels, sealed bidding, and bid tabulation belong to the sourcing and public-procurement process. Implement them in Salesforce and integrate with GoldFinch when an award becomes a vendor, contract, or purchase order.
Procurement capabilities
| Capability | Salesforce solution |
| Public opportunities | Publish open solicitations and documents on an Experience Cloud site. Guest access can allow viewing without registration, subject to Salesforce security controls. |
| Supplier registration | Create portal accounts and capture organization, contact, address, tax, classification, and organization-defined information. |
| Electronic submissions | Accept structured responses and files for RFI, RFQ, RFP, and other configured event types. |
| Evaluation panels | Assign panel members, roles, criteria, weights, reviews, ratings, comments, and conflict attestations. |
| Submission timestamp | Create a submission record with the received date and time, submitting user, file versions, and event reference. |
| Supplier scorecards | Maintain reusable scorecard templates and report performance by vendor, category, contract, event, and period. |
| Award integration | Create or update GoldFinch vendor and purchasing agreement data, and Purchase Orders after required approvals. |
Sealed bids and automated tabulation
Sealed bidding requires more than document upload. The solution must restrict access before the opening event, preserve receipt timestamps and versions, release submissions only to authorized users, and maintain a defensible audit trail. Capture bid pricing as structured data when automatic tabulation is required. Evaluate a qualified sourcing or e-procurement AppExchange application before choosing custom Salesforce development.
Controls to confirm during design
- Public access and registration rules for each event type.
- Rules for late submission, withdrawal, amendment, and resubmission.
- Confidentiality, recusal, conflict-of-interest, and evaluator independence.
- Sealed-bid release authority and opening procedure.
- Scoring formulas, consensus review, tie handling, and approval routing.
- Document retention, public records, accessibility, and legal timestamp requirements.
- Integration mapping from award to vendor, contract, budget commitment, and GoldFinch Purchase Order.
