Create and Maintain Contract Records – GoldFinch Clientcare

Create a structured contract record that users can search, report on, and connect to related business transactions.

Before you begin

Confirm whether your organization uses the Salesforce Contract object or a customer-specific contract object. Ask your Salesforce administrator which record types, required fields, and status values apply.

Recommended contract information

Contract name and contract number
Contract type and record type
Customer, supplier, partner or other contracting party
Business owner, department and responsible user
Contract status and current phase
Effective date, expiration date and renewal notice date
Original value, amended value and currency
Payment terms, billing frequency and renewal terms
Related opportunity, project, purchase document, sales document or subscription
Confidentiality, insurance, compliance, or reporting requirements when applicable

Create a contract record

1. Open the Contracts tab or the contract list provided by your administrator.

2. Select New and choose the appropriate record type, if prompted.

3. Enter the contracting party, contract owner, type, dates, value, and other required information.

4. Set the initial status according to your organization's process. Do not mark a contract Active until required approvals and signatures are complete.

5. Save the record, then add related documents, tasks, milestones, and business records.

Maintain the record

Update status and phase when the contract reaches an approved business stage.
Use amendment records or approved change procedures for material changes.
Do not overwrite original dates or values when the organization needs an audit trail of amendments.
Keep the owner and next action current, so alerts and reports reach the responsible user.
Relate operational and accounting records only after the relationship design has been approved and tested.

Configuration notes

Administrators can add fields, validation rules, record types, page layouts, and relationships to meet the organization's requirements. A configured contract record does not add clause drafting, redlining, or e-signature functionality.
