Store agreements and supporting documents on the related Salesforce record while preserving access controls and file versions.
Supported document administration
Salesforce Files can store a contract document and associate it with a contract or another authorized Salesforce record. Users can upload a new file version instead of creating an unrelated duplicate. Configure record and file access according to the organization's security policy.
Upload a contract document
1. Open the applicable contract record.
2. Locate the Files related list or document component.
3. Upload the document and use a clear title that includes the contract number or party name.
4. Confirm that the file is related to the correct record and that only authorized users can access it.
5. Record the document type, execution status or effective date in structured fields when reporting is required.
Manage document versions
- Upload a new version when the same document is revised during an approved review process.
- Do not replace an executed agreement with a draft or amendment.
- Store an amendment as a separately identified document and relate it to the original contract.
- Use file descriptions or configured document metadata so users can distinguish drafts, executed agreements, and supporting records.
- Confirm retention and deletion procedures with the organization's legal and records-management policies.
Legacy PDFs
Upload existing PDF contracts and link them to imported contract records. Bulk migration, metadata extraction, document matching and validation are implementation services. Salesforce Files does not automatically convert every clause or date in a PDF into structured contract data.
Security considerations
- Do not use public file links for confidential agreements unless the organization has approved that sharing method.
- Review file sharing separately from record sharing, as needed.
- Remove confidential data from screenshots used in Clientcare documentation.
- Test access with representative user profiles before go-live.
