Route contracts for review and record approval decisions using Salesforce automation configured to match the organization's policies.
Overview
Salesforce Flow and approval functionality can route a contract record based on defined business rules. Common criteria include contract type, amount, department, funding source, deviation from standard terms, and required legal review. The customer must configure and test the workflow.
Define the approval process
- Identify which contracts require approval and which users or roles may approve them.
- Define sequential and parallel approvals, including substitute or delegated approvers.
- Specify the fields and documents that must be complete before submission.
- Define what happens after approval, rejection, recall, or cancellation.
- Define reminder and escalation timing.
- Decide whether approved records should be locked from editing.
Submit a contract for approval
1. Review the contract record, required fields, and attached documents.
2. Resolve validation errors and confirm that the contract owner is correct.
3. Select the configured approval action.
4. Enter submission comments when requested.
5. Monitor the approval status and respond to requests for changes.
Approval evidence
The record can retain approval status, approver, date, and comments according to the configured process. Field history and system audit information can supplement approval history but do not replace the signed contract document.
Limitations
GoldFinch does not supply one universal contract approval workflow because approval rules differ by customer. Workflow configuration is not the same as legal clause approval, collaborative redlining or electronic signature.
