How to Change the Item’s Base Unit of Measure (UOM) or Units of Measure (UOM)?

GoldFinch tracks inventory quantities using both the Base Unit of Measure (Base UOM) and the various Item Units of Measure (Item UOMs). Proper conversion between the Base UOM and Item UOMs is essential to ensure accurate inventory quantities and transactions.

Prerequisites for Changing the Base Unit of Measure (Base UOM)

Before changing the Base UOM, ensure the following conditions are met:

1. Zero out the inventory for the item.

2. Close all open Sales Lines: Sales Lines must be completed, closed, or deleted.

3. Close all open Purchase Lines: Purchase Lines must be completed, closed, or deleted.

4. Post or delete any open Item Journals where the item is listed as an Output Item.

5. Post or delete any open Item Journal Lines where the item is listed as a Consumption Item.

6. Close all open Work Orders where the item is listed as an Output Item.

7. Finish or delete all open Work Lines where the item is listed as a Consumption Item.

Prerequisites for Changing Item Unit of Measure and Conversion Fields

Before modifying the Unit of Measure or Conversion fields in the Item Units of Measure, ensure the following:

1. Zero out inventory for the Item UOM.

2. Close all open Sales Lines for the Item UOM. Sales Lines must be completed, closed, or deleted.

3. Close all open Purchase Lines for the Item UOM. Purchase Lines must be completed, closed, or deleted.

4. Post or delete any open Item Journals where the Item UOM is listed as an Output Item.

5. Post or delete any open Item Journal Lines where the Item UOM is listed as a Consumption Item.

6. Close all open Work Orders where the Item UOM is listed as an Output Item.

7. Finish or delete all open Work Lines where the Item UOM is listed as a Consumption Item.

How to Change the Base Unit of Measure and Item Units of Measure

1. Click on Update Item Units of Measure to modify the Base Unit of Measure and the Item Units of Measure.

2. The Base Unit of Measure field will be greyed out if the item is involved in open transactions or has open inventory.

3. Ensure the Item Unit of Measure record name matches the Unit of Measure field.

4. Update the Conversion field to reflect the new values.

Alternatively, you can directly update the Base Unit of Measure on the Item page and then modify the corresponding Item UOM records to include the correct conversions.

How to Delete an Item Unit of Measure

You cannot delete an Item UOM if it has been used in any transactions. However, you can take the following actions to prevent its further use:

• Rename the Item UOM (e.g., EA [DO NOT USE]) to indicate that it is no longer in use.

• Mark the Item UOM as inactive by checking the "Do Not Sell" field to prevent it from being used in future Sales transactions.

• Clone the item, update the Item UOM configurations, and then block the old item.
