Enabling Multi-Ledger after your organization has been using GoldFinch without GL Ledgers requires careful planning, data preparation, and thorough testing. We strongly recommend completing the following steps before enabling the feature in Production.
1. Refresh Your UAT Environment
Refresh your UAT (Sandbox) environment so testing is performed against a current copy of your Production data.
2. Configure GL Ledgers
Review the Configure Multi-Ledgers Overview – GoldFinch Clientcare documentation and configure the GL Ledgers your organization will use.
3. Determine Your Inventory Segregation Strategy
Review Inventory Valuation by GL Ledgers – GoldFinch Clientcare to determine how inventory should be separated across GL Ledgers.
4. Determine Whether Multi-Currency Is Required
If your organization operates in multiple currencies, review the Configure Multi-Currency Overview – GoldFinch Clientcare documentation before proceeding.
It is much easier to enable Multi-Currency during the Multi-Ledger implementation than afterward.
5. Populate GL Ledger on Existing Data
After GL Ledgers have been configured, every accounting and inventory transaction must have a GL Ledger assigned.
Work with the GoldFinch team to run scripts to populate the GL Ledger field for existing records, including:
- Opportunities
- Sales Quotes
- Sales Orders
- Purchase Orders
- Work Orders
- Item Journals
- General Journals
- Item Ledger Entries
- Cost Entries
- GL Entries
- GL Summary records
The migration should be completed before users begin entering new transactions.
6. Configure Financial Consolidation (If Required)
If your organization requires consolidated financial reporting across multiple GL Ledgers, review Financial Consolidation – GoldFinch Clientcare.
Configure the consolidation structure before going live to ensure financial statements and consolidated reports produce the expected results.
7. Update Accounting Seed Integration (If Applicable)
If your organization uses Accounting Seed, work with the GoldFinch team to update the integration so the GL Ledger value is passed correctly between GoldFinch and Accounting Seed.
This ensures accounting transactions continue to post correctly after Multi-Ledger is enabled.
8. Perform Comprehensive End-to-End Testing
Before enabling Multi-Ledger in Production, thoroughly test all critical business processes, including:
- Sales
- Purchasing
- Manufacturing
- Inventory
- Shipping and Receiving
- Accounting
- Financial reporting
- Inventory valuation
- Journal postings
- Integrations
Verify that:
- Every transaction is assigned to the correct GL Ledger.
- Inventory posts to the appropriate ledger.
- Financial statements and reports are accurate.
- All integrations continue to function correctly.
Only proceed to Production after all testing has been successfully completed.
